Wedding Planner Vs Venue Coordinator

Many couples share concerns about the potential overlap between a venue coordinator and a wedding planner like myself. I thought it would be helpful to shed some light and explain the distinct roles we play and how we can work together to ensure your day is seamless and stress-free.

Wedding Planner vs. Venue Coordinator

The key difference is that the venue coordinator works for the venue, while I work for you, the couple. Here’s what that means in practice:

  • Venue Coordinator: Their primary responsibility is ensuring that all aspects      related to the venue run smoothly. They’ll focus on tasks such as venue      setup, compliance with venue policies, and scheduling events related to      the venue’s services.
  • Wedding Planner (Me): My responsibility is your entire wedding day and      experience—not just the venue-related parts. I’ll oversee every aspect of      your day, ensuring it aligns with your vision and runs smoothly from start      to finish.

Supplier Recommendations

Venue coordinators may provide a list of recommended suppliers, often tied to commission agreements with the venue. This could result in higher costs for you. In contrast, I recommend suppliers based on your specific needs, vision, and budget, without taking any commission.

I also liaise directly with all your suppliers on your behalf, saving you time and stress. Without a wedding planner, this responsibility would fall entirely on you, as venue coordinators typically only ensure suppliers comply with venue rules.

Guidance & Support Throughout

From now until the end of your wedding day, I’ll be your dedicated point of contact, available for guidance, support, and problem-solving. Unlike a venue coordinator, I handle the unexpected, whether it’s a supplier delay, a last-minute adjustment, or an unplanned issue (e.g., a makeup artist not showing up). My goal is to resolve problems behind the scenes, so you can focus on enjoying your day.

Wedding Schedule

I create a comprehensive timeline for your entire day, coordinating with all suppliers and the venue to ensure everything flows perfectly. Venue coordinators typically focus only on venue-specific timings, such as the ceremony and meal service.

Continuity & Personal Connection

When you hire me, you’ll work with me directly throughout the planning process and on your wedding day. Venue coordinators often change due to staff turnover or other commitments, meaning the person you’ve been liaising with might not be present on the day itself.

To share my personal experience, during the 18 months of planning my own wedding, I had five different venue coordinators. I hired an independent coordinator to ensure my day went as planned, despite having a venue coordinator and toastmaster. It was the best decision we could have made meaning we didn’t have to worry about anything on the day or in the run up to it.

Guest Management

I assist with the design and creation of invitations, manage RSVPs, and handle guest queries—something venue coordinators typically do not provide.
